PA-Executive Director
Responsibilities:
Organize, schedule appointments, interviews, meetings and maintain calendar of Executive Director
Deal with incoming emails, faxes and post as instructed
Answer, screen, handle telephone calls and requests properly and compose routine replies
Take dictation and typing correspondence and reports
Prepare correspondences on Executive Director’s behalf
Coordinate, attend and takes minutes of meetings
Provide general assistance during meetings and presentations
Make travel and hotel reservations and arrangements for official and personal visits
Handle administrative duties as delegated by the Executive Director
Maintain coordination and communication with every department whenever required
Conduct and fulfill internet research tasks related to personal and business dealings of the Executive Director
Prepare assigned and instructed reports
Create, maintain and classify data base of names and addresses of Executive Director’s contacts
Maintain own files and documents
Assist in following-up marketing contacts for any ongoing or upcoming projects, presentations or specific requirements
Carry out assigned tasks with the Executive Director to facilitate campaign drives for the company such as circulating emails to Architects & Consultants for new products developed.
Prepare and write correspondences on sales managers’ behalf and other related tasks as instructed
Requirements:
Holder of a university degree
Excellent interpersonal and communication skills
Three years of relevant experience
Excellent knowledge of Microsoft Office package
Ability to use own initiative and pay close attention to detail
Ability to cope with competing demands and to prioritize tasks
Ability to multi-task, with good organizational abilities
Good practice of telephone protocol
Excellent correspondence and report writing skills
Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information.
