Admin Assistant

We have an opportunity for an Administrative Assistant to join our team in the Dubai office. You will be provide administrative support to the Chairman and Finance Manager. You will be highly and able to ensure the smooth and efficient running of the office each day. This role will be reporting to the Finance Manager.
Responsibilities
• Act as a business support for the Regional Chairman and Finance Manager by preparing reports, presentations…etc.
• Raise purchase orders and quotations / check invoices as necessary
• Excellent communication skills in typing memos or letters and being in contact with other executive level Managers
• Maintain and update reports and databases as necessary
• Organize meetings and conference calls both internal and external
• Provide PA support to the Chairman & Finance manager including but not limited to; diary management, monitoring incoming correspondence, screening calls, collating expenses on a monthly basis, collating monthly report data
• Coordinate travel bookings (domestic and international) for the Chairman and provide booking assistance as necessary
• Provide additional cover for other administrative staff during absences or when assisting with specific projects
• Participate in meetings and take minutes as required and follow up on actions as well.
• Provide assistance when the Chairman are traveling.
• Other responsibilities assigned by the chairman time to time.
Qualifications:

• At least 1-3 years experience as an Admin Assistant in a fast-paced, company start-up, sales environment.
• A university degree in business administration or similar field.
• Excellent speaking/ writing English language is a must
• Superior communication skills complemented by high standards of work and presentation.
• A flexible, well organised team player with strong problem solving skills, often working under pressure while maintaining accuracy.
• Advanced skills in Microsoft Word, Excel and PowerPoint and proven experience in an administration position.
