Your main role as an Administrative Assistant is to liaise between departments, staff and clients with focus on document organisation, marketing and other administrative works as assigned.

Primary Focus
ADMINISTRATIVE FUNCTIONS:
- Will provide administrative support to Department Managers as requested.
- Work very closely with HR Manager on matters of QMS documentation, records and other projects as required.
- Liaising with clients, suppliers and other staff.
- Other duties may be assigned as deemed necessary by the HR Manager.
SALES and MARKETING SUPPORT:
- Assist in development and running of procedural and system processes for management of new and existing tenders like saving relevant tender documents, including mapping if necessary.
- Ensuring quality of service like monitoring when the client was last contacted and making follow-up calls to clients.
DOCUMENT CONTROL FUNCTIONS:
- Coordinates, implements, and maintains the company’s Document Control Procedure and user training system. Coordinates activities interfacing with suppliers or clients to meet quality standards and timelines.
- Responsible for overall management, coordination of documentation within the company.
- Maintain tracking system of electronic or job files.
- Establish, implement or improve document and record control procedure.
- Arrange training for documentation management to staff.
- Maintains quality records and documents as per ISO standards.
- Investigates and responds to corrective actions related to document control, training and other external requirements and standards.
- Responsible for coordinating document change requests.
