Networking with tenants, public and external organizations. To establish and maintain sound public relations. Manage flow of internal and external correspondence. Drafting and updating of office stationary master copies. Typing and distributing of all internal and external correspondence as required. Maintain all filing systems as required. Lease agreement preparation and finalization. Maintain accurate lease information of all tenancies. Maintain and update all tenant and contractor files. Collection of rents and depositing of cheques. Draw up monthly leasing, maintenance and financial reports. Preparation of monthly management reports. Execute lease agreements on behalf of the owners in compliance with the management manual. Monitor and assist with the approval, appointment and management of service companies. Attend to all unforeseen maintenance problems and emergency repairs. Prepare supplier invoices for payment and authorize all payments. Report on all income and expenses and variations to budgets. Maintain minutes of all meetings. Correspond with tenants, suppliers and all other parties where necessary and ensure that effective filing systems are set up and maintained. Check invoices against orders / contracts and verify prices and work completed and submit for payment. Attend to all complaints and requests from tenants relating to technical problems. Visits to tenants and maintain good relationships with all tenants. Other duties as required from time to time.
