Receptionist (UAE National)

1. Receive, direct and relay telephone messages and fax messages
2. Answer all incoming calls and handle caller’s inquiries whenever possible
3. Re-direct calls as appropriate and take adequate messages when required
4. Greet, assist and/or direct visitors
5. Provide secretarial, clerical and administrative support  including staff travel and staff/business functions.
6. Arranging couriers
7. Maintain the general filing system and file all correspondence
8. Assist in the planning and preparation of meetings, conferences and conference telephone calls
9. Respond to public inquiries
10. Develop and maintain a current and accurate record system
11. Screening phone calls
12. Be responsible for evacuation, in cases of emergency, acting as first point of contact for guests and the emergency services
13. Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
14. Deliver excellent customer service, at all times
15. Express a friendly disposition, smile, and be sociable and welcoming to our visitors and callers, to create a great atmosphere
16. Assist in keeping the reception area clean and tidy, at all times
17. Maintains security by following procedures; monitoring logbook
18. Developing and implementing new administrative systems, such as record management
19. Carry out instructions given by the management team and head office
20. Always adhere to all company policies and procedures and licensing laws
21. Covers procurement and logistic functions as and when required including cover when staff are on leave.
22.  Familiar with the Terminal IMS and all activities undertaken shall be in line with QHSE guidelines and company policies.
23.  Carries out other reasonable duties as requested.
24. Assists in all accounting data entry in financial system (Orion) and handling other documentation requirement related to accounting as instructed by Management Accountant
25. Maintain contact data base and update/ amend changes to contact details of employees, OT coordinates, suppliers and other company contacts.
26.  Coordinates with Security to ensure that the office buildings are always cleaned and kept tidy by the Third Party Contractor.
27.  Handles company visitors, coordinates the security/visitor passes and arranging refreshments.
Job Requirements:
1. Candidate must have UAE Passport and a Family Book (Kholasat Qaid)
2. Educated to high school standard.
3. Computer literate.
4. Fluency in written/spoken English and Arabic .

There’s nothing wrong with being introverted, but introversion isn’t the best quality in a sales employee.

If continually meeting and talking with strangers drains your energy, or if you find yourself regularly stumbling over your words or accidentally making the person you’re speaking with feel uncomfortable, sales might not be the best line of work for you
