Receive and monitor incoming telephone calls and emails and logging wherever necessary for the intervention of the Service Manager.
Scan Service Reports and transmit to clients.Check ETA’s of Vessels and mark the same on the service order and service call board.
Open service job orders on job confirmation from client in consultation with Service Manager.Follow up service calls and accordingly inform Service Manager.
Schedule engineers service calls.Coordinate travel arrangements for service engineers in the case of outstation jobs.Prepare
Performa invoice and forward to customers to obtain approval confirmation.
Update service reports; maintain offshore pass documents and records and passport copies of service personnel.
Maintain records of approval / calibration certificates etc.
Coordinate and monitor workshop repairs and warranty claims through workshop assistant.Prepare schedules for service personnel, assigns personnel to routes or to specific repair and maintenance work.
Arrange for transportation of service personnel, tools, equipment and spares to customer's location for service / installation or from customer's location to service centre for repairs that cannot be performed at site.
Explain to customer by telephone, email or letter on action taken on complaint.Follow up with customer to see that complaint was satisfactorily resolved.
Complies with internal controls and ensure that all activities are properly recorded, authorised and validated in accordance with Company’s policies and procedures in a prompt and accurate manner.
Ensure project documents are complete, current, and stored appropriately.Maintain contact with, and formulate reports for, contractors and clients in order to ensure completion of work.Ensure proper use of safety equipment and adherence to all Safety, Heath and Environmental issues.
Report to Service Manager on a daily basis on the above assignments.
Requirements
Graduate with 1 - 2 years work experience. Good computer and secretarial skills. Male candidate preferred.
